About this policy

This policy describes the public Cauvery Digital Lab website and CDL Data Collection applications operated under our control. Each institution’s collection notice should identify its purpose, required information and responsible contact.

Public website

This website has no account registration, enquiry form or added advertising analytics. If you contact us by email, we receive the information you choose to send. The hosting provider may process connection and technical information to deliver and protect the website.

Google sign-in for staff

The staff console uses Google sign-in to verify identity. It requests basic identity access (openid and email), not access to a staff member’s personal Gmail messages, files or contacts. The application processes the verified email address and Google account identifier to check authorization, manage the session and attribute audit events. Authentication credentials and tokens are processed as needed to complete sign-in.

Student information

Depending on the institution’s configuration, the application collects student identity, academic, contact and address information, photographs, signatures and declarations. These are used for the institution’s stated data-collection and ID-card workflow. Do not submit information beyond what the institution requests.

Storage and access

The current applications use Google Apps Script, Google Sheets and Google Drive. Authorized institutional administrators and authorized operators may access information necessary for their responsibilities. Staff console access is checked against the deployment’s authorization configuration; console access does not itself grant direct access to the underlying workbook.

Use and sharing

Information is used to provide the collection service, support authorized maintenance and keep security audit records. Google services process information necessary to operate these applications. Google sign-in information is not used for advertising or sold. The application’s use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements where applicable.

Retention, correction and deletion

Student-record retention is determined by the responsible institution. Contact that institution to request correction or deletion. Maintenance deletion removes a record; eligible associated assets may be moved to trash rather than immediately erased, and shared assets may be retained. Audit records and backups may require separate retention decisions.
